In-Person Delegate FAQs 

  1. What time does the conference start and finish? 

    Registration opens at 9am and the conference begins at 9:30am. The conference will finish at 4:30pm. The full agenda with start and end times can be found within the Event App, which all delegates will have access to.  

  2. Where is the conference being held?

    The conference is being held at Anglia Ruskin University, Chelmsford campus. The address is:

  3. Is parking available at the venue?

    There is no onsite parking at the venue. Nearby public car parks and the park-and-ride options can be found here. For any delegates who are blue badge holders and wish to book a disabled parking bay onsite, please contact us as soon as possible on lucy.owen@saphna.co.  

  4. How do I check in when I arrive?

    Please visit the registration desk on arrival and have your QR code ready to be scanned – this can be found in your registration confirmation email as well as within the Event App. You will be given a lanyard and name badge and an exclusive SAPHNA canvas delegate bag. 

  5. Will refreshments and lunch be provided?

    Yes – there is welcome tea/coffee and pastries available during the registration period, and tea/coffee and water will be available for both the morning and afternoon breaks. Lunch is included for all in-person delegates. Dietary requirements submitted during registration will be catered for.

    Please note that no nut products should be brought onto site due to a severe nut allergy within the attendees. 

  6. What should I bring with me?

    Your registration QR code or confirmation email, and anything you need for note-taking. You’ll be given a SAPHNA pen and post-it notes in your delegate bags to use if you would like to. Please also bring your mobile device with the Event App accessible as this will be used for connecting with other delegates by scanning their QR codes on their name badges or within their app. Charging points are available but limited. 

  7. Will presentation slides be available afterwards?

    Yes, slides (and recordings where applicable) will be available for all delegates after the event. 

  8. Is Wi-Fi available at the venue?

    Complimentary Wi-Fi will be available. You will be provided with your own WiFi login code with your lanyard and name badge on registration. 

  9. What accessibility arrangements are in place?

    The venue is fully accessible. If you have notified us already via the details submitted during registration, we will ensure your needs are met. If you require additional support, please contact us in advance on lucy.owen@saphna.co or leanne.cleal@aru.ac.uk so we can ensure everything is in place for you.

    The conference will be held over all three floors at the venue and there is lift access throughout the building. 

  10. What is the dress code?

    Smart-casual is recommended. Please wear comfortable footwear as you will need to move around the venue to access the break spaces, exhibition areas and the different breakout sessions. 

  11. Are there networking opportunities?

    Yes - breaks and lunchtime offer excellent networking opportunities. Some sessions may also include interactive elements. You can connect with other delegates and capture contact information via the Event App, which is especially useful for networking with delegates joining the conference virtually. 

  12. Can I transfer my ticket to a colleague?

    Ticket transfers may be allowed depending on availability and deadlines. Contact us on lucy.owen@saphna.co for more information. 

  13. I can’t make the conference in-person now – what can I do?

    Contact us on lucy.owen@saphna.co as soon as possible so we can advise on any alternative options.
